Scope of this policy

This policy covers participationstudio.co.uk and Participation Studio's general research services. It does not cover The Collective, our research participant community, which has its own dedicated privacy policy at /the-collective/privacy/. The Collective involves distinct categories of personal data, including health and disability information, and that policy explains those processing activities in full.

What data we collect and why

Website enquiries

When you complete our contact form, we collect your name, email address, organisation, and the content of your message. We use this to respond to your enquiry and, where relevant, to follow up about our services. The legal basis is legitimate interests: you have contacted us requesting a response.

Research participants

When you participate in research we facilitate on behalf of our clients, we collect the personal data needed to conduct that research. This may include your name, contact details, demographic information, health information (where relevant and with your explicit consent), and your responses during research sessions. We will always explain what data we collect and why in the participant information and consent documentation you receive before any research begins.

Research participant data is processed under one or more of: your explicit consent; legitimate interests of our client organisation; or (where applicable) UK GDPR Article 9 conditions for special category data in research contexts.

Analytics

We use Google Analytics to understand how visitors use this site: which pages are viewed, how long people stay, and where they come from. Google Analytics uses cookies and sends data to Google's servers. We only load Google Analytics if you have accepted analytics cookies via the banner on this site. We do not use Google Analytics data for advertising purposes. IP addresses are anonymised.

How we store and protect your data

Contact form submissions are stored securely on our server and accessed only by Participation Studio team members. We do not sell, rent, or share your personal data with third parties for marketing purposes.

Research participant data is stored securely and only shared with the client organisation that commissioned the research, as set out in the participant information you receive. Recordings and transcripts are stored with appropriate access controls and deleted after the agreed retention period.

Where we use third-party tools (such as video conferencing or survey platforms), those processors are subject to data processing agreements consistent with UK GDPR requirements.

How long we keep your data

Contact form enquiry data is retained for up to 3 years from your last contact with us, after which it is deleted unless you have become a client, in which case standard contractual record-keeping applies.

Research participant data retention periods are set out in the participant information for each project. We do not retain identifiable participant data longer than necessary for the purposes of the research.

Your rights

Under UK GDPR, you have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data (subject to any legal obligations to retain it); object to or restrict processing in certain circumstances; data portability where processing is based on consent or contract; and withdraw consent at any time where processing is consent-based.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

Our website uses Cloudflare infrastructure. Cloudflare may process server logs in accordance with their privacy policy at cloudflare.com/privacypolicy.

We may update this policy from time to time. The date at the top of this page shows when it was last revised. Significant changes will be communicated where we have contact details for affected individuals.
